How to retrieve an item in the Collection

The collections of the APRA are maintained at two locations. The first is the Northern Alberta Railway Museum, located at 24215 - 34 St. Edmonton, AB. This location holds all the rolling stock (engines, cars, MOW equipment and physical artifacts)
The second location is at the Provincial Archive of Alberta, located at 8555 Roper Road, Edmonton, AB.

The collection located at the PAA consists of Photographs and slides, books, maps, drawings, magazines and films.
The collection of books is searchable from the PAA web site and the remaining collection is searchable through this web site

You can use the search feature to look for keywords that will return records or the browse function to find collections or personal records.

Once you have found an item or items of interest and wish to examine it more closely, you will have to go to the Provincial Archives and request the staff there to return a particual box for you to view

If, for example you were looking for information about yard engines, a search might return the following information

This has two pieces of information that you need to retrieve this and other pictures from the Archives.

The first is the Identifier (circled). This is a unique identifier (that starts with MS587) for the specific item returned in the search.
Every item in the archive has a unique number, the structure of which can be seen in the 'About' menu item.

The second piece of information is the location (also circled). This is the physical location in the Archive vaults that holds the item described.

To retrieve the item for greater study, go to the Provincial Archives in Edmonton to the Archivist in the Sandra Thompson Reading room. Provide the staff there with the Storage location information
This is the address within the archive vaults that holds the item you are searching for. The archivist will retrieve the box from the vault and provide it to you for your study.
In the storage box will be any number of items, slides, photographs, notes or drawings, all numbered with an MS587 number.
The items numbered within a box are always arranged in sequential order to make it easy to find the specific item you are searching for.

When you have completed your study of the item, return the box to the Archivist who will return it to its correct place in the vaults.
If the Location says PAA Library, the item is a book that stored in the Library which is directly connected to the Sandra Thompson Reading room.
Ask at reception for specific directions.

The Hugh Coffin library is stored in the vault at a common location (V08-041). All books in this library will have the same location.
If you are looking for a book in this library, you will need both the vault location as well as the accession number.
Give these to the Archivist in the Sandra Thompson Reading room and the book will be retrieved for you.
When you have completed your study of the item, return the book to the Archivist who will return it to its correct place in the vaults.
